PROGRAM SECRETARY- ALTERNATIVE CARE

Full-time Permanent position

Location – Kenora

POSITION SUMMARY:

The Program Secretary is a full-time permanent program support position. The Program Secretary provides secretarial and related clerical support services to the Resource Manager and all members of the Alternative Care team. This role ensures support services are delivered with excellence, conforming with provincial legislation, regulations, standards, and the Agency’s philosophy, policies, procedures, and guidelines.

RESPONSIBILITIES

  • Support Alternative Care Homes and Staff Model Homes, and Education Liaison Workers.
  • Coordinate secretarial services, act as a liaison between the team and clients, and handle inquiries from prospective caregivers.
  • Gather pertinent information from prospective caregivers or 1-1 applicants and provide it to the Alternative Care Resource Manager.
  • Answer general inquiries by interpreting agency policies and procedures.
  • Provide word processing services, transcribe case notes and documents, and draft routine correspondence.
  • Maintain confidential records for the Resource Manager, coordinate team meetings, and organize training workshops.
  • Develop and maintain filing systems and compile statistical information for the program.
  • Promote the Agency’s philosophy and build relationships with community service providers and tribal agencies.
  • Ability to provide back-up coverage to Reception and front desk area on a rotating schedule.

 

QUALIFICATIONS

  • Community College Diploma or High School Diploma with three years of related experience.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively.
  • Knowledge of Anishinaabe culture, Child and Family Services Act, and foster care regulations.
  • Commitment to confidentiality, professionalism, and ethical conduct in all interactions and activities.
  • Flexibility and adaptability in responding to evolving organizational needs.
  • Excellent verbal and written communication skills, including the ability to articulate cultural concepts and practices in a clear and accessible manner.
  • Working knowledge and experience in a variety of computer programs including Microsoft Office Suite, and service-based systems
  • Knowledge of the administrative structure and operations of AAFS including service delivery, policies, procedures and office methods
  • Experience with case management file requirements and record keeping services.
  • Excellent time management with the ability to plan accordingly to flocculate project timelines and goals.
  • Must provide valid Ontario G Driver’s Licence, willingness to travel, clear Vulnerable Sector Check, and Driver’s Abstract.
  • Ability to speak Ojibway is considered as an asset.

 

WORKING CONDITIONS:

Normally performed in a typical interior office environment generally working at a set schedule of standard business hours, located in the offices of AAFS.  The position will require sitting for long periods of time at a desk, perhaps sharing a workspace with other colleagues.  The incumbent will be required to work in an atmosphere adhering to strict deadlines and at times consisting of repetitive duties that may involve a computer, website, telephone and faxing requirements.  Periodic travel is also required.

 

Salary Range:  $43,042 – 52,788 per annum
